All relevant parts of this application must be fully completed and signed before a booking can be made. The full fee and application must be received by Wednesday 6th May 2020.  No Applications will be accepted after this date.

Stall holder Checklist – Only applications with the following will be accepted

  • Completed application form

  • Copies of all the Liability Insurance documents

  • Completed Risk Assessment

  • Completed Health & Safety questionnaire

  • Payment made in full

  • Copies of Food Hygiene Certificate supplied (if applicable)

A risk assessment allows you to consider whether or not you have taken the correct precautions to protect yourself, your staff, participants, the general public and/or any property belonging to those parties from any harm as a result of your activities.

What you have to do

You will need to assess all of your activities and complete the following steps:

  1. Identify any hazards/risks.
  2. Identify who might be at risk.
  3. Evaluate hazards/risks and what you will do to minimise these.
  4. Record your findings.

A sample form is provided within the application form, but you may submit your own version.

To receive an electrical supply to your trading pitch (food and market) at Collett Festival 2020, the supply order form MUST be completed and returned to Shepton Mallet Town Council by Wednesday 6th May 2020.

NO FORM = NO POWER

Power will be supplied by the type and quantity of socket outlets you require, therefore ensure that you book the correct socket outlets for your requirements. Overloading a socket outlet will result in loss of your supply until an engineer can reconnect you, if repeated you will be required to purchase an additional or higher rated outlet at the appropriate on site price.

Order forms must be returned by Wednesday 6th May 2020 with payment.

Payments must be paid by cheque, made payable to Shepton Mallet Town Council and should be sent with your completed order form.

Payments received after this date will incur a late payment fee of £50 in advance of the trading day. If you arrive on site and need to purchase electrical supplies then payment MUST be made in cash.  There is no guarantee that we can give you a supply at such short notice. No cheques can be accepted on site.

Important Notes (please read carefully as it may speed up your connection)

  • Power will be available from 9am-4.30pm. For food traders staying the evening, electricity will be available until 11.30pm and Sunday traders from 11am – 5:30pm
  • All equipment connected to an electrical supply must carry a current Portable Appliance Test certificate and comply with BS7671, IEE regulations.
  • Metal frames used to construct stalls and tents must be earthed in accordance with the above regulations.
  • Instructions given by our onsite electricians MUST be adhered to and carried out promptly
  • Socket outlets will be within 25 metres of your trading pitch therefore ensure that you bring at least 25 metres of cable with the correct plug attached to fit the socket outlet you have ordered. You can hire cables if required (see attached form below)
  • You must only use the supply that is allocated to you, connecting to another trader’s supply is prohibited for any reason. This may result in your supply being disconnected with a reconnection charge of £25 being applied to both traders.
  • All trading pitches requiring power must order their own supply, a single supply must not be used to power multiple pitches. Doing so will result in pitches being disconnected with a reconnection charge of £25 being applied to both traders.
  • Power consumption of each pitch WILL be monitored on site, anyone found using more than their ordered amount will be charged the onsite cost for the correctly rated supply. In addition to this a charge of £25 will be made for the installation.
  • No claim will be made against NEMS or the Organiser for any losses incurred due to loss of power after connection, however NEMS will endeavour to maintain a constant supply and, in the event of a power failure, reinstate power as soon as reasonably possible.

Types of Supply

  • All sockets will be IEC 309/BS4343 type.

When on Site

  • Do ask for help on electrical matters.  Report to a radio steward who can contact an electrician for you.
  • Do bring to site your copy of this form and any receipts issued.
  • Don’t put power outlets near sinks where water is present – water and power do not mix
  • Don’t leave 13amp household sockets outside your constructed stall, not even covered up
  • Don’t overload your power supply as it will overload the circuit and may trip out more than your stall

Loss of Power

  • If you should lose power report to a radio steward who can contact an electrician for you.

The Trader’s Electrical Supply Form must be returned to Collett Festival 2020 by Wednesday 6th May 2020 with full payment in order to avoid the late payment fee.

  1. Entrance to the site to set up is directly off the end of Park Road, Shepton Mallet, BA4 5BS. The main entrance gates will be open for setting up from 7am on Saturday 13th and Sunday 14th June 2020. You will receive confirmation of your designated time to arrive and parking instructions
  2. Access to Park Road is off the A371 Cenotaph roundabout at the southern end of Shepton Mallet High Street.
  3. Park Road and the entrance gate at the end of the cul de sac is our only vehicular  access and we need to ensure that there is no obstruction at any time. Please do not park or leave any vehicle unattended either near the entrance or anywhere on the whole length of Park Road. Please do not block the A371 roundabouts  or main road, and follow the instructions of traffic stewards.
  4. Free off site car parking  is available  in Mendip  District  Council’s  car park  and also in the open  field opposite, both entered via the A371 / Cannards Grave Road (please review site location plan provided);
  5. Free off site car parking for disabled drivers is available  by St Michael’s  Roman Catholic  Church (with their kind permission) adjacent to the Site off Park Road;
  6. Stand / display set-up needs to be fully completed by 9.30am and all trader vehicle movements in the Park are STRICTLY prohibited between 9.30am and 5.30pm;
  7. Breakdown is not permitted to commence until 4.30pm;
  8. Follow the instructions of our official stewards at all times;
  9. All traders and exhibitors must report to the Official Marshals’ Gazebo before proceeding onto the site where your location will be confirmed. No change of location permitted without express permission from an official marshal.
  10. Shepton Mallet Town Council’s insurance policy do not cover “other organisations activities”, so check that you are insured;
  11. Please  ensure  that  if  you  are  handling  food  you  comply  with  all  appropriate  regulations  and  that appropriate   licenses  are  fully  displayed   throughout   the  opening  hours  of  the  Collett Park Day.  Without appropriate licenses you will not be permitted to trade.

Shepton Mallet Town Council cares deeply for the environment and to that end we wish to reduce the amount of  plastic waste at our event. Therefore, we are taking the steps to ban any single use plastics, including balloons, bags, wrapping and utensils.
